We need a virtual assistant to take phone calls from clients who call while our in-office assistant is on the phone or unavailable. We use a system which will route the call to the virtual assistant's phone, letting them know the call is for us, allowing the virtual assistant to press a key to accept the call, greet the client, and provide the service. If virtual assistant does not answer, it routes the call to another virtual assistant. We use the online Appointment-Plus system for the assistants to schedule appointments with our clients.
Other duties may include calling clients to confirm appointments and calling health insurance companies to verify client benefits. The assistant logs in to our system on a regular basis to receive tasks and to complete the tasks, usually within the next day or two. Appointment confirmation calls are made daily and briefly--- often aproximately 10-15 brief reminder calls per day.
We are a health care business so assistants must comply with HIPAA privacy law. Health care experience is preferred but not required. We will train the right individual. An assistant who is willing to give us a large number of weekday hours (Central time) when they can potentially accept calls is preferred in order to improve our phone coverage, with the understanding that the assistant is not required to sit by the phone and accept every call.
I would like to pay by the hour for the time the virtual assistant actually spends working, not simply for the hours that the system is set to potentially send overflow calls. With one of our current assistants, we have guaranteed to pay for a minimum of 10 hours per week even though she does not always have enough to do to keep her busy for 10 hours. The system is set to send her calls most of the daytime hours of our business, but she usually does not receive enough calls or have enough tasks to keep her busy more than 10 hours per week. We are open to doing this with another assistant in order to have optimal phone coverage for our clients.
We want only one person, an assistant who will treat clients in a personal way, not an answering service who would use multiple people.
