Our private-equity client is looking for an Administrative Assistant to join their small office in supporting 2 partners. The ideal candidate will be a self-starter, someone that thinks outside the box and works well with a team. Please note the candidate will serve as the face of the firm, and sit in a reception capacity.
RESPONSIBILITIES of Administrative Assistant:
Provide back-up support to the 2 Partners
Answer, screen and route phone calls as appropriate
Greet and direct visitors in a pleasant and professional manner
Coordinate travel arrangements, as needed
Schedule and coordinate meetings, conference calls, set-up conference rooms, order food and beverages and clean-up conference room after meetings
Coordinate with building security for visitor access and new employee IDs
Coordinate facilities and other services with building management company and outside vendors
Prepare and reconcile expense reports
Update and maintain corporate calendar
General administrative duties including, copying, faxing, scanning, filing and ordering supplies
Sort and distribute incoming mail
Handle special largescale ad-hoc projects as needed
REQUIREMENTS of Administrative Assistant:
3-5 years of relevant experience
Must have a Bachelor's degree
Strong computer skills required; MS Office: Word, Excel, PowerPoint and Outlook
Knowledge of Sales force a plus
Excellent communications skills, both verbal and written
Team player with a flexible and cooperative attitude
Highly organized with strong attention to detail
Must be reliable, self-motivated, proactive and able to multi-task - Flexibility to work overtime as needed
Verification of identity, education, prior employment, and references may be required
