Thank you for looking at this bid request. I realise that this is potentially a large project and not everything has been completely scoped. However, it is a signed off project and it is something that we need to deliver by around the end of this year.

We would like to create an online quotation application that will allow us to send targeted quotations a contact database we have uploaded to the application. These quotations will be sent to the contacts based upon criteria such as market sector and job title. The quotation will be for an insurance product.

## Deliverables

The main process flow and system requirements are as follows:

* Select target business trade ?€" affinity business

* Underwrite each risk

* Provide a quotation

* Bind Quotation (subject to online claims questions)

* Process payment

* Produce Policy Documentation

* On Going client management ?€" automated renewals

To drill down further then, each step has the following system requirements:

1. Select an affinity trade: The aim is to focus on UK, SME businesses and essentially canvass them for business. We will pick one affinity group at a time we will look to automatically generate a quote and send it directly to the registered MD or CEO. For example, our chosen affinity group might be metal engineering companies and depending on the systems capabilities/our requirements in respect of quote volumes, we might narrow this further by region if needs be.

2. Underwrite each risk: This is the real business end of the system. Each affinity group will have one common SIC code. By connecting with Company Information providers such as Dunn & Bradstreet or Bureau Van Dijk, we can apply this SIC code and generate a list of all the target companies. These information providers all provide a ?€˜health check?€™ score and it is our intention to use this as our simple underwriting tool. We need the system to recognise this score, remove the bottom quartile from the quotation process and then generate a quotation for the top rated three quarters. It is intended that depending on what health check score each company has, we will apply 3 varying rates and offer 3 various limits of indemnity. In other words, the healthiest company will be able to buy £[url removed, login to view], £1m or £2m of cover for a lower premium than a company with the lowest acceptable score, who would only be eligible to buy £[url removed, login to view] of cover and at a higher premium. The rating and Level of Indemnity (LOI) matrix is to be very simple, with no real complicated quotation formula?€™s needed. The proposal is that there are 3 rates and three LOI?€™s for the system to choose from and dependant upon the health score, the system can will offer different variations of these.

3. Provide a Quotation: Using the same data obtained above, the intent is to automatically mail shot each company. As well a health check score, the D&B info will include management info and corporate address. Previously we have looked at actually physically mailing the quote but we may be able to do this simply by email. Along with the actual quotation, we would look to include some other information here, such as product information, claims example and some corporate info on us. I would imagine that there would be up to 10 pages of information to be sent ?

4. Binding the Quotation & Process Payment: Should they want to bind the quotation, the intent that they will simply be able to log and bind this quote and pay on line. The method that we had previously devised is to, along with the quotation, send a unique quotation code. This will allow each client to log on and bring up their own individual quotation. Before they can actually bind his quote, they will need to answer a short online questionnaire (2 pages), verifying the data we have used (address, directors, financial status etc) but most importantly there will be a claims question. Should this be answered yes, this quote will need to be referred to an underwriter. This is the only point of contact that we as a company will have and the frequency is expected to be low.

5. Produce Policy Documentation: Once bound, they will be able to print off their policy wording.

6. Follow Up: Once a client has bound, we need to ensure that all their data is stored and confirmation of coverage bound is recorded internally. We also want to ensure their cover remains in place as effortlessly as possible for them. For example, auto renewal letters produced a month before their policy expires.

I hope this all makes sense and you can get a flavour of the system requirements that we need. The issues will probably revolve around the quotation part of the process, being the data collection, underwriting and processing stage, so please feel free to buzz me with any questions and we can take it from there.
