Vehical Management System

We are looking for either a server and desktop based OR web (preferred) based vehical management system. We have 29 vehicals currently in fleet and we want to have a graphical interface for our dispatchers to see what vehicals are where and what they are doing i.e. car 6 | Main St & Main Ave |? Status (like? in-route to call)? | Case No. | Vehical Tag Number | Driver Name | Vehical Type (installer, repair, etc.) Then let the dispatcher click on that line to update that car or dispatch it somewhere. We then want the software to update the status and send an email to the car (all of our vehicals starting July 1 will be internet-equiped and will have either a laptop or a palm pilot running windows that can receive email) telling them to either proceed to a new client, cancel call, or send whatever message the dispatcher enters. ## Deliverables This will be a full breakdown of the desired product: Web Based (prefered): **Page 1** - Login **Page 2** - Main Dispatcher page (displays all vehicals and status info as described above) **Page 3** - Page to modify vehical status or dispatch to a job or cancel a job. (if a job is updated, dispatched, or canceled the system should send an email with:? Case Number (as entered upon dispatch), Job Title (as entered upon dispatch), Update (if appicable), Location (as entered upon dispatch), On-Site Contact (name and number as entered upon dispatch), Issue (as entered upon dispatch), Other (as enter if appicable)) **Page 4** - Admin Page (allowing for vehicals to be added or removed, users to be added or removed, and allowing users to be defined as administrators) ONLY users defined as administrators should be able to access this page! **Page 5** - Contact Driver - This page should have a text area field allowing the dispatcher to send a plain text message (via email) to the email address assigned to the vehical. It should also list the phone number of the vehical (if one is entered in the vehical information) **Page 6** - Vehical Information - Should show (in a non-editable fashion) the vehicals information including: Make, Model, Year, Color, Plate Number, Seating Capacity, Vehical Type, Phone, Driver(s), Towing Capacity, Trailer Type Dispatchers should be easily able to change STATUS. A drop-down box would be prefered. Statuses should include: * In-Op * Off Duty * Garage * Break * Standby * On Call * In-Route * Active * Staged When a job is canceled it should clear the Job Detail Fields * Case Number * Job Title * On-Site Contact Name * On-Site Contact Number Our preference would be for there to be 3 buttons at the bottom of "Page 2" * Dispatch - sends initial dispatch email (subject should be *DISPATCHED - "Case Number"*) * Cancel Job - sends job cancel email (subject should be *Job "Case Number" CANCELED*) * Save - Just saves page, no email * Update - Sends email with updates (subject should be *Job "Case Number" UPDATED* Admin Section - User Management Admins should be able to add / remove / or update profiles on all users. Each user would have a profile created when added. This would include: * Name: * Phone: * In-House Ext: * Username: * Password: * Language(s): * Job Title: * Hours: * On Call Phone: * Training: * Driver's License #: * Other: When Username or Password is changed it should change the users actual login data. Admins should be able to Add / Remove / Update profiles on all vehicals. Admins should have full rights a a regular user plus access to this section. Other pages and information may be needed based on the requirements of this project. This should be a relatively easy project, however depending on the coder it may be very time consuming. We are more concerned about COST and FUNCTIONALITY than time. If you can make it work better or easier to use or cost less but need additional time then we will be willing to extend the deadline. REGULAR STATUS UPDATES ARE REQUIRED.
