Do some Excel Work

I am trying to set up a commission tracking process for a cell phone company. I have a regularly updated file in Google Sheets that has a new row added for every phone sold. Each row contains a phone number among other information. Invoices are sent in PDF format with rows that list each phone number and commission amount. There are also labels for the commission type in each row (1st Payment, 2nd Payment, Auto topup, and others). I would like to add 4 columns to the end of the Sheets document. They would be labeled in this order: 1st Payment - Promotion (Which would be anything labeled otherwise) - 2nd Payment - Auto Topup. Each cell in this column would refer to the phone number cell in it's own row and check all PDF files in Google PDF for that phone number. If the column we're working with is the 1st Payment column, it would then check each PDF document containing that phone number for the words "1st Payment." If that row also included those words, it would put the dollar amount that is also contained in that row as the readout for that cell. The "Promotions (or other)" cell would catch any remaining payouts that don't have the words required by the other cells, and populate that cell. Every time I am emailed an invoice in this PDF form, I would like to be able to add it to Google PDF and have the Sheets document reference the similarly named PDFs given to those invoices to keep the fields up to date. Is this something that's possible? This would be the most convenient process all things considered, but if not, please feel free to make other suggestions.
